In 2020, Microsoft 365 has added quite a few additional features and updates, and the latest of these is Microsoft Lists. This latest productivity tool can be used to track business issues, manage your inventory, create event agendas, manage FAQs for employees and more – all with enterprise grade security and compliance that Microsoft offers.

The Microsoft Lists 365 app is easy, intuitive and flexible, and allows managers to stay involved and in touch with what is happening with their teams. Customizable views and smart alerts help to keep everyone on track and in touch. Pre-made templates allow members to start lists either online on a mobile app or directly from the Microsoft Teams function.

Lists allow you to not only notate something to save it, but to track thousands of related items across employees, geographies and project status points – something your post-it notes couldn’t possibly handle.

Lists Home: This is where you view and manage all your lists. You can start a list from scratch, use a ready-made template, or import Excel table data. Lists are sorted by “most recent”, “favorites”, or those that were shared with you. The program allows personal, private lists as well as enterprise-wide lists with thousands of participants.
Both the web-based version and the app are expected later in the year.

Microsoft Teams: Traditional list-makers are go-getters who make things happen. Microsoft Lists are for these same people, only now they can also collaborate utilizing Teams – bringing content and conversation together by adding a List to your Teams channel. Teams and Lists will help you to configure customized lists with no compromises – add columns, links, custom formatting – making sure that the information works exactly how you need it to.

Templates Pre-Configured: Begin immediately with pre-designed templates created for specific tasks, such as onboarding new employees, creating itineraries, or managing inventory. You can use these lists as-is, or customize them to your heart’s content.
In addition to the ready-made templates, you can use a current list as a formatted template, or import Excel data tables.

List Viewing: There are four main list views – list, grid, gallery, and calendar. Grid is the default style when you initially create a list, consisting of rows and columns that can be easily edited, reordered and rearranged. List is similar to Grid, but is most compatible with existing SharePoint lists. Gallery is best for lists that include images; and Calendar is best to organize dates and events.

Building Rules: A series of if/then statements will guide your rule building, which is as easy as writing out your goals.

Sharing with Others: The main goal of Microsoft Lists is not only to coordinate all this information, but to share it all in a way that is organized and efficient. You can share a List in its entirety, or break out into read-only permissions. You can allow (or disable) edits per individual, or require passwords for viewing and editing purposes. Sharing allows participants to add notes and comments of their own, making Lists a truly dynamic document.

Microsoft Lists builds on the Sharepoint information platform, but augments with new experiences and innovative capabilities. The full Microsoft Lists application is expected to be rolled out in late summer.
